Payment methods

I. PAYMENT METHODS AT SAFFRONCLUB VIETNAM

Customers can make payments using one of the following methods:

1. Cash Payment:

Please visit Saffronclub Vietnam’s main office headquarters to proceed with the payment.

2. Bank Transfer:

When making a bank transfer, please clearly state your full name, address, phone number, and details of the specific travel trip you have registered for. After making the transfer, please fax the transaction receipt to the company and contact the online staff to receive the official travel ticket from SaffronClub Vietnam.

SaffronClub Vietnam will not address cases where the system automatically cancels a registration form if you do not follow the above regulations.

Note: Customers will pay the tour/service deposit + transaction fees (depending on whether you choose domestic or international payment gateways).

You can make online payments using domestic bank cards, including debit cards branded by Vietnamese banks. SaffronClub Vietnam commits not to store any of your card information on our system. Therefore, you can feel completely secure when using your cards to pay for costs/services on SaffronClub Vietnam's website.

Note: For payments using ATM/Internet Banking, please register for Internet Banking services with the card-issuing bank before using this payment method.

II. MANDATORY TERMS WHEN MAKING ONLINE PAYMENTS

For flight and hotel bookings made and paid online, SaffronClub Vietnam will not be responsible for refunding, cancelling, or changing itineraries (rooms). If you do not show up at the hotel you booked, it will be considered a no-show, and you will not receive a refund for the room you have paid for (hotel policy).

1. GENERAL TERMS

All services are priced in Vietnamese Dong (VND). Tour service prices are clearly listed in the "Included" section of each tour, transportation, hotel, etc. SaffronClub Vietnam is not obligated to pay for any costs not included in the "Included" section. If customers pay in USD, the amount will be converted to VND based on the exchange rate of Vietcombank at the time of payment.

2. PAYMENT

When making a payment, please provide complete information and pay a deposit to reserve a spot. The deposit amount will vary depending on the program you choose, and the remaining balance must be paid 5 working days before the departure date. Payment is considered complete when SaffronClub Vietnam receives full payment by the agreed-upon date or as per the contract agreement between both parties. Any payment delays leading to the cancellation of services are not the responsibility of SaffronClub Vietnam.

For bank transfer payments:

When making the transfer, please clearly state your full name, address, phone number, and the name of the specific travel trip you have chosen.

After making the transfer, please fax the transaction receipt to the company and contact the responsible staff member to receive the official travel ticket from SaffronClub Vietnam.

Note: Please provide all required information when registering for a tour through the website [https://saffronclub.com](https://saffronclub.com) and be responsible for the accuracy of the information provided.

SaffronClub Vietnam will use this information to provide it to service providers and carry out necessary procedures for your trip. If there is a discrepancy between the information you provide and the actual details, which requires adjustments, you will be responsible for any additional fees incurred (if any).

III. CANCELLATION AND REFUND POLICIES

1. In case of cancellation by SaffronClub Vietnam:

If SaffronClub Vietnam is unable to fulfill the travel trip, it will immediately notify customers and refund the full amount paid within 5 days from the cancellation notification, either in cash or by bank transfer.

2. In case of cancellation by customers:

- Cancellations on regular days:
  - Cancellation 30 – 45 days in advance: Deduct 10% of the total tour value.
  - Cancellation 20 – 30 days in advance: Deduct 20% of the total tour value.
  - Cancellation 25 days in advance: Deduct 25% of the total tour value.
  - Cancellation 15 days in advance: Deduct 30% of the total tour value.
  - Cancellation 07 days in advance: Deduct 40% of the total tour value.
  - Cancellation 03 – 06 days in advance: Deduct 75% of the total tour value.
  - After the above period, SaffronClub Vietnam deducts 100% of the total tour value. Cancellations must be directly notified to the company or by fax, email, and must be confirmed by the company. Phone cancellations will not be accepted.

- Note:
  - In case of tour cancellations due to objective events such as natural disasters, terrorism, epidemics, etc., SaffronClub Vietnam will not be responsible for compensating additional costs other than refunding the tour fee.
  - The above penalties are maximum penalties, which may be reduced depending on the conditions of each service provider for SaffronClub Vietnam.
  - The time frame for tour cancellations is calculated based on working days (excluding Saturdays, Sundays, and public holidays).
  - Cancellation conditions above do not apply during holidays and Tet.

- Force majeure:

If the travel program is canceled or altered by either party due to a force majeure reason (war, natural disaster, terrorism...), both parties will not be obligated to compensate for any losses incurred and will not bear any legal liability. However, each party has the responsibility to help the party affected to minimize losses caused by the force majeure.

IV. FOR CUSTOMERS MAKING ONLINE PAYMENTS ON THE SAFFRONCLUB VIETNAM WEBSITE

Customers canceling a travel ticket (tour) during regular days and holidays according to the rules outlined above and paying online will be responsible for all bank fees incurred when paying for the travel ticket.

Refunds for customers will be processed by SaffronClub Vietnam 2 days after the bank informs the company that the funds have been transferred to SaffronClub Vietnam's account.

V. SPECIAL REQUESTS DURING THE TRIP

Please inform SaffronClub Vietnam of any special requests at the time of registration. We will do our best to accommodate these requests based on our capabilities, but we will not be responsible for any refusal of service from carriers, hotels, restaurants, or other independent service providers.

VI. HOTELS

The hotels provided are based on either twin rooms (two single beds) or double rooms (one double bed), depending on the room configuration of the hotels. Triple rooms may be arranged when necessary. The hotels arranged by SaffronClub Vietnam for the tours match the corresponding standards of the price levels customers select when booking the tour. If a change is necessary for any reason, a replacement hotel will be equivalent in standard to the original hotel and will be notified to travelers before the departure date. Special requests from customers, if notified in advance to SaffronClub Vietnam, will be accommodated based on the hotel's availability, and customers may incur additional costs for these requests (if any). SaffronClub Vietnam reserves the right not to accommodate these requests if the hotel refuses to provide the service.

VII. TRANSPORTATION

Transportation depends on each travel program.

For tours by car: Air-conditioned vehicles (4-7-15-25-35-45 seats) will be arranged by SaffronClub Vietnam depending on the group size, serving throughout the tour program.

SaffronClub Vietnam will not be responsible for compensating or bearing legal liability for material or emotional damages caused by delays in public transport schedules or delays caused by passengers themselves. SaffronClub Vietnam will only act to help minimize losses for customers.

VIII. LUGGAGE

Luggage should be compact. For tours using airline services, luggage allowances will be determined by the airlines.

SaffronClub Vietnam is not responsible for lost or damaged luggage or any personal belongings of passengers during the trip. Passengers are responsible for their own luggage. If customers lose or misplace their luggage, SaffronClub Vietnam will assist customers in contacting and reporting to relevant departments to locate lost or misplaced luggage. Compensation for lost or misplaced luggage will be according to the regulations of the service providers or insurance companies.

IX. RECEIVING INFORMATION ABOUT TRAVEL PROGRAMS

Before registering, customers should carefully read the program details, ticket prices, inclusions, and exclusions of the program. Customers can register for the trip directly or through a representative at SaffronClub Vietnam's offices or branches. We are only responsible for providing travel information to customers who register directly or to their representatives. SaffronClub Vietnam is not liable for cases where the representative does not provide or provides inaccurate travel information to customers.

X. RESPONSIBILITIES AND OTHER COMMITMENTS

1. On the part of SaffronClub Vietnam:

- Ensure full services as specified in the program.

- Provide all necessary information and regulations for domestic and international travel before departure.

- For international tours, SaffronClub Vietnam is not responsible for customers denied exit by state management authorities or denied entry by foreign authorities. All costs arising from these denials are to be borne by the customer, including service cancellation fees from providers.

2. On the part of the customer:

- Pay in full and on time.

- During the trip, customers must adhere to the program and not separate from the group without permission. Any changes must be communicated to the tour guide or SaffronClub Vietnam's representative.

- Provide passports, photos, and other relevant documents for entry and exit procedures on time as per regulations.

- Adhere to the laws and regulations of the visited country. SaffronClub Vietnam is not liable legally or financially in the event that customers violate the laws or regulations of the host country.

- Customers are responsible for paying all costs arising from violations, and our

 responsibility is only to assist customers in minimizing damages in such cases.

3. Responsibilities of both parties:

- Depending on the actual situation, Saffronclub Vietnam reserves the right to change the itinerary, rearrange the order of sightseeing points, or cancel the tour at any time if SaffronClub Vietnam deems it necessary for the convenience or safety of customers.

- During execution, if disputes arise, they will be resolved based on negotiations between the two parties. If negotiations fail, the matter will be brought to court as per the prevailing legal regulations. All related costs will be borne by the losing party.
